Overview

An established Independent Financial Advice firm is seeking an experienced IFA Administrator to support Financial Advisers in delivering a high-quality, compliant service to clients. The role involves managing client records, processing new and existing business, and ensuring smooth day-to-day administrative operations.

Key Responsibilities

  • Processing new business applications across pensions, investments, and protection

  • Managing Letters of Authority and obtaining provider information

  • Preparing documentation for client meetings, including valuations and review packs

  • Maintaining and updating client records on the back-office system

  • Liaising with product providers and platforms to obtain information and resolve queries

  • Supporting advisers with diary management and meeting scheduling

  • Monitoring pipelines and ensuring cases progress efficiently

  • Ensuring all work is completed in line with FCA compliance requirements

  • Handling client queries via phone and email in a professional manner

    Skills & Experience Required

  • Previous experience within an IFA or financial planning firm

  • Strong understanding of pensions, investments, and protection products

  • Experience using a financial services back-office system (e.g. Intelligent Office, Xplan, etc.)

  • Proficient in Microsoft Office

  • High attention to detail and strong organisational skills

  • Ability to manage multiple cases and deadlines
