IFA Administrator
Overview
We are looking for a highly organised and detail-oriented IFA Administrator to support Financial Advisers and Paraplanners in delivering a high-quality financial planning service to clients. The successful candidate will play a key role in ensuring the advice process runs smoothly and efficiently while maintaining excellent client service and regulatory compliance.
Key Responsibilities

Provide administrative support to Financial Advisers and Paraplanners.

Prepare client meeting documentation including fact finds, valuations and review packs.

Process new business applications across pensions, investments, and protection products.

Manage and track Letters of Authority (LOAs) and obtain policy information from providers.

Maintain accurate client records on the CRM system.

Liaise with product providers and platforms regarding client policies and applications.

Support the preparation of annual reviews and client review documentation.

Assist with client onboarding and anti-money laundering (AML) checks.

Ensure all documentation and processes comply with FCA regulations and internal procedures.

Handle client queries professionally via phone and email.
Requirements

Previous experience working in an IFA / Wealth Management / Financial Planning environment.

Strong understanding of pensions, investments and protection products.

Experience with CRM systems (e.g. Intelliflo, Xplan, IO, Adviser Office or similar).

Excellent organisational and communication skills.

High attention to detail and ability to manage multiple tasks.

Good knowledge of the financial advice process.
